Answers on the phone, in the team’s language.
A useful field answer needs three things: the applicable requirement, a clear explanation and the source behind it. That is the basis of the document assistants I build.
The same questions, asked again
How should this be installed? Which photos does this need? Teams ask, then search old chats or call the coordinator.
When finding a passage takes longer than making a call, the coordinator handles the same questions repeatedly.
Language can hide a critical detail. I saw a team return to install an extra brace because they had missed the requirement in a Norwegian note.
On the phone, where the work is
Ask a question in everyday language and get an answer that is easy to read on site.
I can place the assistant alongside the site checklist, accessible through the same link the team uses for photos.
A record of recurring questions helps the office identify unclear instructions and training needs.
Use the revision that applies
Guides change. The right answer depends on which version applies to the site.
The assistant needs an agreed set of approved sources and a way to identify which revision governs the work. Drafts and older guides must remain distinguishable.
Every answer identifies the revision used so the team can verify that it applies.
Every answer shows its source
The answer comes with the document, revision, section and the passage it is based on.
The explanation uses the team’s language while preserving the original passage for verification. Where useful, it also identifies what to inspect on site.
Source references make the answer usable in a review or a conversation with the coordinator.
Two example questions: one answered with its source passage and revision, one answered 'not established' because two revisions disagree
Make unresolved questions clear
When the sources are missing or disagree, the right answer is to say so.
If a question falls outside the approved sources or the documents conflict, the assistant identifies the gap and gives the coordinator the relevant passages to resolve it.
